Overall Purpose of the Job:   

  • To undertake basic and general administrative and clerical functions 


Principal Accountabilities:

  • To undertake basic administrative tasks that may include some or all of the following tasks:
  • Filing, record keeping and post,
  • Checking and processing data, using manual and IT systems, including office and service specific packages – basic spreadsheets, basic databases and basic word processing,
  • Dealing with deliveries of goods and services, stationery and stock control,
  • Assisting with basic ordering, delivery and payment of goods and services, reception duties,telephone answering and message taking,
  • Photocopying, faxing and document handling.
  • Any other duties and tasks associated with supporting Directorate service providers appropriate to the grade of the post and level of responsibility. 


General Information:

1.The above principal accountabilities are not exhaustive and may vary without changing the character of the job or level of responsibility.

2. The Health and Safety at Work etc. Act, 1974 and other associated legislation places responsibilities for Health and Safety on all employees.  Therefore it is the postholder’s responsibility to take reasonable care for Health and Safety and Welfare of him/herself and other employees in accordance with legislation.

3. The above duties may involve having access to information of a confidential nature which may be covered by the Data Protection Act, and by Part 1 of Schedule 12A to the Local Government Act, 1972.  Confidentiality must be maintained at all times.










Basic and appropriate work experience or evidence of some involvement in a business/commercial environment




Office experience 

Experience in school/college activities/groups/projects

Education/Training Qualifications


GCSE – At least two (or equivalent) including

English and Maths 




NVQ – Level 1 – Business Admin

ECDL/RSA – IT qualification

Evidence of any other relevant training undertaken.

Special Knowledge


A working knowledge of office IT packages – word, spreadsheets, databases



Office – administration and clerical work




ICT skills – keyboard skills

Good communication skills – written and verbal

Inter-personal skills – able to take instruction Customer care skills – pleasant and helpful manner

Organisational skills – able to prioritise work
